ClinicAgent

Booking software for clinics

The front desk that never closes.

ClinicAgent answers your patients’ questions on your own website, checks who is actually free, and books them in — at nine in the evening, on a Sunday, while you are with someone else.

One line of code on your existing site. No card needed.

Your Clinic
Hi — I can book you in. What are you after?
Initial consultation, sometime Thursday
Thursday 21st with Elaine Goh:

The assistant

It reads your diary. It doesn’t read a script.

Chatbots guess. This one looks things up — your services, your prices, your practitioners’ real availability — and then makes the booking in the same conversation.

  • It never invents a price. Every figure it quotes comes from your own service list.
  • It only offers times that are genuinely free — working hours, holidays, existing appointments and the gap you keep between sessions all taken into account.
  • It writes in your voice. You set the tone and the house rules in plain English.
  • Visitors can talk instead of type, which is most of them, on a phone, one-handed.

Booking and the diary

Every practitioner, every room, one day at a time.

Each person keeps their own working days and hours, their holidays and their time off. Availability falls out of that — nobody maintains a separate list of free slots.

Rooms are assigned automatically to whatever is free. Move an appointment and you are warned before you double-book, not after.

Colour tells you the state at a glance: requested, approved, confirmed, attended, cancelled, no-show.

Confirmations and reminders

Chasing people is not a job.

Patients confirm or cancel from the email, in one click, with no account and no password. If they haven’t answered, they get a nudge. Before the session, they get a reminder.

You set how much notice a cancellation needs. Inside that window the button is replaced by your phone number, so somebody actually speaks to you.

Every email carries your clinic’s logo and name — not ours.

Callbacks

Some people would rather be phoned.

When someone doesn’t want to book online — or the question is too particular — the assistant takes their number and when they’d like the call, and it lands in a queue.

You can read what they were asking about before you ring, and mark each one as dealt with, so nothing quietly falls off the end of the day.

The rest of it

The unglamorous half, done properly.

Roles that actually fit

Reception, practitioner, manager — or a role you invent. Someone can run the diary without being able to read chat transcripts.

Sign in with a fingerprint

Passkeys, so there is no password to forget or leak. Two-factor authentication and recovery codes if you want them too.

Client records

Contact details, history and consents in one place. Accounts are created the first time somebody books — nobody fills in a form twice.

Services and categories

Each with its own length and price, grouped how your clinic talks about them rather than how software wants them.

Any time zone, any currency

Times show in your clinic’s local time to everyone who sees them, prices in your currency — Singapore or anywhere else you practise.

Light and dark

Follows whatever the person’s computer is set to. Late-evening admin is easier on the eyes.

Your name on it

Your patients never see ours.

Upload your logo and it replaces ours everywhere — the sign-in screen, the browser tab, the top of every email. Your clinic gets its own web address. The chat bubble on your site wears your colours, not this blue.

Pricing

Priced per clinic, not per booking.

A busy month shouldn’t cost you more than a quiet one. One price for the clinic, whether you take ten bookings or a thousand.

Monthly Annual

Annual is ten months — two months free. Every plan starts with a 14-day free trial, no card needed.
